The Wausau Free Clinic, sponsored by the First Presbyterian Church, is committed to offering no-charge,
quality primary care services to low income, uninsured individuals of Central Wisconsin, utilizing highly
qualified volunteers.
POSITION TITLE: Medical Receptionist
REPORTS TO: Clinic Coordinator
SUMMARY AND PURPOSE:
As a collaborative member of the team, assists in clinic activities under the general direction of the
Clinic Coordinator, working collaboratively with the Clinic Manager, Medical Director, Director of Nursing,
Director of Medication Services, Reception/IT Director, and other key clinic staff. Serves as a visible,
accessible, and knowledgeable representative of the Wausau Free Clinic to patients, partner organizations,
and the public.
Depending upon the candidate’s skills and interests, this position is a 20-30 hours per week position.
The agreed upon weekly schedule will be determined at the time of hire and remains fixed. Salary
commensurate with background, education and experience; a range from $18.00 to $25.00 per hour.
This position is eligible at 20 hours for benefits, including health insurance and pension plan.
ESSENTIAL DUTIES:
- Serves as clinic receptionist, fielding phone calls during clinic and non-clinic hours. Triages walk-ins via phone, email, and in person. Checks emails regularly and responds or triages all inquiries.
- Maintains and communicates weekly patient schedule to providers.
- Assists Clinic Coordinator in scheduling volunteers.
- Prepares patient charts for clinic days and reviews charts to ensure necessary paperwork has been filed and processed.
- Oversees the clinic’s registration and intake, providing training and technical assistance to registration volunteers.
- Assists with coordinating patient referrals and aftercare linkages.
- Collects data on the utilization of clinic services, running reports as requested.
- Maintains and updates inventory of equipment; completes inventory of office and clinic supplies.
- Assists the Clinic Coordinator in ensuring necessary volunteer paperwork is on file and up to date (e.g., application form, confidentiality, licenses).
- Assists in volunteer orientation and ongoing training as directed by the Clinic Coordinator.
- Identifies and assists in the implementation of processes to improve clinic flow and efficiencies.
- Participates and is a member of the Internal Control Committee, providing input on policies and procedures and recording minutes.
- Assists the Clinic Coordinator and Clinic Manager in assuring Wausau Free Clinic’s "Silver" level accreditation through WAFCC/NAFC is maintained.
- Other duties as assigned.
SKILLS REQUIRED:
- Communication Skills: Understands medical terminology. Ability to communicate in both written and oral form in a manner that is clear, concise, and respectful, considering that English is not the primary language for many patients. Listens to ensure understanding.
- Organization: Maintains an orderly workspace, files, and records such that any team member can function efficiently in the shared environment.
- Accuracy: Verifies data and patient information when received from other sources and upon entry into any permanent record. Keeps records current and consistent with written guidelines and regulations.
- Data Entry: Familiarity with entering information into databases.
- Technology: Demonstrates proficiency in Microsoft 365 Word and Excel. Ability to learn and become proficient in clinic systems and other software necessary to perform responsibilities.
- Problem Solving: Takes note of failures, errors, and inefficiencies and works to determine the root cause such that the issue does not recur. Uses fact-based analysis when recommending solutions.
- Collaboration: Considers your impact on others more than yourself in your daily work, seeking input from the team when making changes and gathering input to improve results.
- Initiative: Proactively acts, even when such action is outside of one’s day-to-day role. Strives for excellence.
- Flexibility and Adaptability: Willingness to take on new duties, work different hours when needed, and accept change as necessary to deliver Clinic excellence.
WORK HOURS:
This is an onsite position, requiring availability on Tuesdays from 1:00 PM to 8:00 PM,
Wednesdays from 9:00 AM to 4:30 PM, and Thursdays from 11:00 AM to 6:00 PM.
Additional hours, up to 30 hours per week, can be negotiated upon hire based on the candidate’s
interest, availability, and skills.
EXPERIENCE AND EDUCATION REQUIRED:
- At least 1-2 years of experience in a primary healthcare or public health field preferred. Other experience will be considered.
- Prior Medical Receptionist, Clinic Assistant, or similar clinic experience desired.
- High School Diploma or Certificate required. Medical Receptionist or Clinic Assistant coursework is helpful but not required. Other education will be considered.
- Bilingual English/Spanish is extremely helpful but not required.
- Experience posting content to social media platforms and websites is helpful but not required.
CREDENTIAL/LICENSURE REQUIRED:
Driver’s License: Helpful but not required.
